Our Export Process
1. Initial Inquiry

2. Customized Quotation
Once we understand your needs, we prepare a customized quotation.
The quotation includes information such as:
- Requested product
- Technical specifications

- Applicable Incoterm
- Commercial terms
- Payment conditions
- Estimated delivery time
Before sending samples, we consider it important for the client to understand the product’s price range. This helps confirm that the budget aligns with expectations and avoids unnecessary logistical costs for both parties.

3. Sample Shipment
Once the client confirms that the pricing is of interest, we proceed with sending samples for evaluation.
We typically use international courier services such as DHL Express or FedEx.
The client is only responsible for:
- International shipping costs
- An administrative fee to cover banking commissions and administrative expenses
Delivery times usually range between 4 and 10 business days, depending on the destination country.
In some cases, especially when dealing with specialty coffees or products with limited availability, samples must be requested directly from producers. Since many farms are located in rural areas with limited access, this process may require additional time.
4. Order Confirmation
Once the samples are approved, the client issues a Purchase Order.
It is important that this document contains the correct legal information of the importing company, as these details will be used to prepare all export documentation.
Accurate information helps prevent delays and facilitates the customs clearance process at destination.
5. Advance Payment and Order Preparation
Coffee Graders works with orders that are produced or prepared specifically for each client.
We generally require a 70% advance payment, which allows us to begin:
- Product sourcing or preparation
- Selection and quality control processes
- Packaging
- Labeling
- Palletizing (when applicable)
- Documentation preparation
The delivery timeline begins only once the advance payment has been received and confirmed in our bank account.
6. Production and Export Logistics
Each operation is different.
Preparation time will depend on factors such as:
- Type of product
- Requested volume
- Inventory availability
- Harvest season
- National and international logistics availability
Before confirming an order, our team will inform the client of the estimated production and dispatch timeline.
7. Export Documentation
Our team prepares all the necessary documentation for exporting the goods.
Depending on the product and destination country, documentation may include:
- Commercial Invoice
- Packing List
- Certificate of Origin
- Phytosanitary Certificates
- Certificates of Analysis (COA)
- Air Waybill (AWB)
- Bill of Lading (BL)
- Other documents required by the importing country’s authorities
8. Balance Payment
Once the goods have been handed over to the airline or shipping line, we share the corresponding documentation with the client, including the AWB or Bill of Lading, depending on the mode of transport used.
The remaining balance must be paid according to the commercial terms previously agreed upon by both parties.
9. Operation Follow-Up
Our work does not end when the goods leave Colombia.
We continuously monitor the shipment and support our clients throughout the international transportation, customs clearance, and final delivery process.
If any documentary or logistical requirement arises during the operation, our team will be available to provide the necessary support.
